Woodlands Golf Club (“the Club”, “we”, “us”) respects the privacy of our members, guests, visitors and the people who contact us. This policy explains what personal information we collect, why we collect it, how we use it, and how you can access or correct it.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We collect personal information you give us directly, including:

  • Contact details — name, email address, postal address and phone number
  • Enquiry information — the content of messages you send through our contact, visitor and membership enquiry forms
  • Membership information — where you apply for or hold membership, this may include date of birth, golf handicap and Golf Australia number, emergency contact details, and payment records
  • Event and booking details — where you book a function, corporate golf day or visit, including catering and any dietary requirements you tell us
  • Payment information — processed through our payment providers. The Club does not store complete credit card numbers on this website

We only collect what we reasonably need. You can deal with us anonymously for general enquiries, though we may not be able to respond without contact details.

How we collect it

Most information is collected directly from you — through this website’s forms, by email or telephone, in person at the clubhouse or pro shop, or on membership and event paperwork.

We may also receive information from third parties where relevant, such as Golf Australia in relation to handicaps, or from a member who nominates you.

Why we use it

We use personal information to:

  • respond to your enquiry
  • administer memberships, bookings, competitions and events
  • process payments
  • send Club communications, newsletters and event information
  • meet our legal, insurance and safety obligations
  • improve our services and this website

We will not use your information for an unrelated purpose unless you would reasonably expect it, you have consented, or the law requires it.

Direct marketing

If you have provided your details, we may send you Club news and event information. Every such message includes an unsubscribe option, and you can opt out at any time by contacting us. Opting out of marketing does not affect essential membership or booking communications.

Who we share it with

We do not sell personal information. We may disclose it to:

  • Service providers who help us operate — website hosting, email delivery, payment processing, membership and booking software — who are bound to protect it and use it only for the services they provide to us
  • Golf Australia and affiliated bodies, where relevant to handicaps, competitions or pennant
  • Others where required or authorised by law

Some providers may store data outside Australia. Where that occurs, we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

This website

Forms. Enquiries submitted through this site are emailed to the relevant Club staff and may be retained in the website’s database.

Cookies. We use cookies to keep the site working properly, remember your preferences, and understand how the site is used. You can refuse or delete cookies through your browser, though some parts of the site may not work as intended.

Analytics. We use Google Analytics to understand how visitors use the site. It collects information such as pages visited, time on site, approximate location and device type, and is used in aggregate. Google’s practices are described at policies.google.com/privacy.

Embedded content. Pages may include embedded content such as maps or videos. Those third-party sites collect data in the same way as if you had visited them directly.

Links. This site links to other websites. We are not responsible for their privacy practices and encourage you to read their policies.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law. Membership and financial records are generally retained for seven years. Enquiries that do not proceed are deleted when no longer needed.

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure. This includes access controls, secure hosting, and staff handling procedures. No system is completely secure, and we cannot guarantee absolute security of information transmitted over the internet.

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

Accessing and correcting your information

You can ask for access to the personal information we hold about you, and ask us to correct anything inaccurate or out of date. Contact us using the details below and we will respond within a reasonable period. In rare cases we may decline access, and if so we will explain why in writing.

Complaints

If you believe we have mishandled your personal information, please contact us first — most issues are resolved quickly and directly.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
